Trust & data

Unpublished workdeserves more thana privacy policy.

You’re handing us years of unpublished research before anyone has examined it. Here is exactly what happens to that file — every stage, in order, in plain language.

The four promises

  • Never used to train AI

    Not ours, not a vendor's.

  • Nobody here reads it

    Support cannot open your document.

  • Encrypted the whole way

In transit and at rest, for its whole short life.

  • Deleted automatically

When your access ends — or the moment you say so.

The life of your file

Upload to erased, start to finish

Stage 01

You upload

The file leaves your machine over TLS and lands in a private store, encrypted at rest, in a folder scoped to your account alone. No public URL, no shared bucket, no copy in an analytics payload.

What exists at this point

Your document, encrypted
1 copy
Readable by a human
no
In any training set
no

Stage 02

It's read once

An automated pass builds your Thesis Map and question bank — chapters, claims, page anchors. It runs against a no-training language model, produces structure, and then that pass is over.

What the pass produces

Chapter & section map
yes
Page-anchored questions
yes
Used to train a model
no

Stage 03

You practise

During a session the panel works from the map and short cited excerpts — never your whole thesis at once. Your spoken answers are transcribed as you go, and the audio itself is discarded. You can switch on a self-view to watch your own posture while you answer; that video never leaves your browser.

During a session

Raw audio kept afterwards
no
Video sent to us
never
Transcript kept for you
yes
Whole thesis sent to the panel
no

Stage 04

You defend for real

Your work here is done. Take your transcripts and readiness reports with you if you want them — then erase everything from your settings, without waiting for the clock or emailing anyone.

Your controls

none

Stage 05

It's gone

Document, map, questions and transcripts are erased on a fixed clock — 30 days after your paid access ends, 90 days after upload on the free preview, or immediately if you asked. What is left is a billing record with no research in it.

What remains

Your thesis
erased
Map, questions, transcripts

Receipt for your payment
kept, as law requires

Said plainly

Four promises, and what each one rules out

Promise 01

Your thesis never trains a model

Not ours, and not a vendor's. Every model this product calls runs on an API whose published terms exclude training outright — the vendor's own default, not a setting we could forget to switch on.

Rules out: your unpublished findings surfacing in someone else's answer.

Promise 02

Nobody at EasyViva reads your document

Processing is fully automated; our support tooling shows account state and error codes, never document contents. One limit we would rather state than let you assume: the AI vendor keeps what we send it for up to 30 days to police abuse of its own service, and a reviewer there could open it inside that window. Nobody at EasyViva can, at any point.

Rules out: quiet internal review of work you haven't defended yet.

Promise 03

Encrypted the whole way

TLS in transit and encrypted at rest in a private store, for the whole short life of the file. Access is scoped to your account alone — there is no shared folder and no public link.

Rules out: a readable copy of your thesis sitting on an open disk.

Promise 04

Deletion is the default, not a request

Everything is erased when your access window closes, with no action needed from you — 30 days after a paid window ends, 90 days after upload on the free preview. Want it gone sooner? One action in your settings, no email, no waiting on us. And print your cheat sheet first — paper is the one copy deletion never touches.

Rules out: your thesis living on a server years after your viva.

Who else is involved

Every party that touches anything

There are 5, and this is what each one actually sees. They are listed by role rather than by name while the last of them is still being chosen — the named list, with a link to each provider’s policy, is available on request today and published here before launch.

Data questions

The ones we're asked most

Could my supervisor or university ever see this?

No. Accounts are personal: there are no institutional dashboards, no shared visibility, and no way for anyone at your university to see that you used EasyViva.

Does using this count as academic misconduct?

EasyViva writes nothing for you — it asks you questions about work you already wrote, and you answer out loud. That is rehearsal, like a mock viva with your lab mates. Your institution’s own rules are still the ones that govern you, so check them.

Is my voice recording kept?

No. Audio is transcribed in flight and discarded — the text transcript is what you keep, and it is deleted with everything else at the end of your window.

Can the panel see me?

No. The examiners are voice-only and have no camera at all. You can switch on a self-view to watch your own posture while you answer, but that video is drawn in your own browser and never sent anywhere — not to us, not to anyone carrying the audio. It is never recorded and never scored, and it stops the moment you switch it off or close the tab.

What if my research is under embargo or NDA?

Many embargoes permit confidential processing by a service provider, but the terms are yours to check. If your agreement forbids third-party processing of any kind, don’t upload — and if you need our sub-processor list in writing, ask at support@easyviva.app.

Can I get everything deleted right now?

Yes — one action in your account settings erases your document, map, questions and transcripts. Only the billing receipt remains, because tax law requires it.

Now that you know where it goes.

Upload your thesis and hear the panel. Free, and deletable in one action.
