Terms of Service

These are the terms you agree to when you use EasyViva. They are written to be read rather than survived — plain sentences, no defined-term glossary, and the parts that cost you something (when your access window starts, when a refund stops being available, what we are not liable for) said outright instead of buried. If a clause here reads as unclear or unfair to you, tell us at support@easyviva.app; we would rather fix the wording than argue about it later.

1. A practice tool — not a prediction

EasyViva helps you rehearse for a viva or thesis defence. It does not assess, grade, or predict the outcome of any real examination. Our “Preparation Coverage” score measures how thoroughly you have practised — nothing more. It is not a mark, not a probability of passing, and carries no weight with any institution.

The questions, feedback, and scores are generated by automated systems that can be wrong, incomplete, or misleading. Treat them as rehearsal material to think against, not as authority. Decisions about your degree rest solely with your institution and your examiners.

2. Who you are contracting with

EasyViva is operated by Algomatrix Enterprise, registered in Malaysia under SSM registration 202403131295 (CT0136618-D), at Palm Spring @ Damansara, No. 1, Jalan PJU 3/29, Section 13, Kota Damansara, 47810 Petaling Jaya, Selangor, Malaysia. In these Terms, “we”, “us”, and “our” mean Algomatrix Enterprise; “you” means the person who created the account.

By creating an account or using the service, you agree to these Terms. If you do not agree to them, do not use EasyViva.

3. Your account

You need an account to use EasyViva. Give accurate details when you register and keep them up to date — we use your email address to verify you, to send you things about your purchase, and to reach you about your data.

An account belongs to one person. Do not share your login, and do not let anyone else use your access window or your sessions. You are responsible for what happens under your account, including anything done by someone you gave access to. Tell us promptly if you think someone else has got in.

Accounts are personal. At present EasyViva does not offer institutional, departmental, or supervisor-purchased accounts, and an account may not be bought or held on another student’s behalf.

You can stop using EasyViva and delete your data at any time from your settings. See the Privacy Policy for what deletion actually removes.

4. Your content & rights

You keep all rights to documents you upload. By uploading, you warrant that you have the right to do so and that doing so breaches no third party’s rights — including your institution’s rules about circulating unpublished work, and any confidentiality, embargo, industrial-partner, or ethics restriction attached to your research.

You grant us a limited, non-exclusive licence to store and process your document only to provide the service to you: to analyse it, generate your prep material, and run your practice sessions. That licence exists for no other purpose, ends when your data is deleted, and does not let us publish your work, share it, or use it to train AI models.

The material EasyViva generates for you — question banks, feedback, argument maps, scores — is yours to use for your own preparation. The service itself, including its software, prompts, personas, and design, remains ours.

5. Acceptable use

You agree not to:

  • upload material you have no right to upload, or anything unlawful, or another person’s personal data beyond what your own thesis ordinarily contains;
  • try to break, overload, probe, or circumvent the service — including its word caps, session limits, access windows, or paywall;
  • resell, sublicense, or provide EasyViva to others as a service, or run sessions on someone else’s behalf;
  • scrape or bulk-extract the service, or use it to build a competing product, including by harvesting generated questions or examiner responses at scale;
  • abuse, harass, or deliberately mislead our support staff.

If you break these rules we may suspend or close your account under the section on suspension below.

6. Academic integrity

EasyViva is for preparation. You are responsible for using it in line with your institution’s academic-integrity rules, which vary and which override anything we say here. It must not be used to misrepresent authorship or to gain an unfair advantage in an assessed examination.

Rehearsing your defence is legitimate practice. Presenting AI-generated text as your own scholarly work is not, and nothing EasyViva produces should end up in the thesis you submit. If your institution requires you to declare the tools you used, that declaration is yours to make.

7. Payment & refunds

Paid plans are a one-time purchase, not a subscription — nothing recurs and nothing auto-renews. Each plan covers one document, up to a word cap, with a set number of practice sessions and an access window. Current plans, prices, caps, and window lengths are on the pricing page. Prices are in US dollars; your bank sets the exchange rate and may add its own fees, which we do not control and do not receive.

Your access window starts when you upload your document — not when you pay. Buy as early as you like; the clock waits for your thesis. It then runs for the number of days shown for your plan and ends. Unused sessions do not roll over, and the window is not paused or extended for illness, a postponed viva, or a change in your submission date. If you have not uploaded anything 90 days after buying, the window opens on that day so that it has a definite end.

Refunds — you decide when the work starts. Paying does not start anything. Your prep pack — the thesis map, the question bank, the cheat sheet — is generated only when you start the analysis yourself, and the button that starts it tells you plainly that starting ends your right to a refund. Until you press it, email us and we will refund you in full, no reason needed and no deadline. That stays true after the 90 days above: a window opening on its own is not you using anything.

Once the analysis has run, the purchase is not refundable. At that moment the work is done and the whole of it is in your hands — a question bank you can read, print, and keep working from whether or not you stay with us. We can hold that line because you never have to buy blind: the free preview analyses your first 8,000 words, gives you 5 sample questions and a mock session, and costs nothing. Judge the product there, before you pay.

Three things sit outside that rule and always will. If a mock session fails for technical reasons early on, the credit is returned automatically — a fault of ours never costs you a session. If the service does not work as described, we will put it right or refund you. And nothing here affects a mandatory cooling-off or refund right you have under the consumer law where you live.

If your document exceeds your plan’s word cap you will be asked to upgrade before analysis runs. Session top-ups (1 extra full mock and 2 mini mocks for US$15) add sessions within your existing window — they do not extend it.

8. Changes, suspension & ending your access

We are actively developing EasyViva and may change, add, or remove features. If a change materially reduces what you have already paid for during your access window, we will either restore the value or refund you fairly.

We may suspend or close your account if you breach these Terms, if we are required to by law, or if we reasonably believe your use threatens the service or other users. Where it is safe and lawful to do so we will tell you why and give you a chance to respond, and where the breach is not serious we will warn you before acting. If we close your account for something that turns out not to be your fault, you get a proportionate refund of the unused part of your window.

We may also discontinue EasyViva altogether. If we do, we will give reasonable notice, let you export your material, and refund the unused part of any open access window.

9. No guarantee

EasyViva is provided as it is. We do not guarantee that it will be uninterrupted or error-free, that the service will be available at any particular moment, or that a voice session will run without technical fault. It depends on third-party infrastructure and on your own connection and microphone.

We especially do not guarantee any outcome. Preparing with EasyViva does not mean you will pass, and a high Preparation Coverage score is not evidence of readiness in the eyes of any examiner. AI-generated questions may miss what your examiners actually ask, and AI-generated feedback may be wrong about your field.

To the extent the law allows, we exclude implied warranties. What we cannot exclude, and do not try to, is set out in the next section — it applies to everything on this page.

10. Limitation of liability

To the fullest extent permitted by law, our total liability to you arising from your use of EasyViva is limited to the greater of what you have paid us, or US$100. No clock runs against that: it is not reduced because you bought your plan a long time ago, and it is never nil — the floor applies even if you have only ever used the free preview and paid us nothing. We are not liable for examination outcomes, for the results of relying on generated questions or feedback, or for indirect or consequential losses such as lost opportunity, delayed graduation, or reputational harm.

Some liability cannot be limited, and we do not attempt to. Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

That limit gives way to your statutory rights, and this paragraph outranks every other paragraph on this page. Nothing in these Terms excludes, restricts, or modifies any right, guarantee, or remedy you have under the Consumer Protection Act 1999 of Malaysia, or under the mandatory consumer law of the country you live in, where that law does not permit it to be excluded. If any clause here would have that effect, it does not apply to you to that extent, and the rest of these Terms carries on. This is not a formality: it is the rule we intend to be read by, and we would rather lose a clause than stand behind one that quietly takes away a right you cannot sign away.

11. Changes to these Terms

We may update these Terms. If a change is material we will tell you by email or in the app before it takes effect. Every version carries a number and an effective date at the top of this page, so “the Terms you agreed to” names a specific document rather than whatever is published today. Changes are not retrospective: the version in force when you bought your plan continues to govern that purchase for its access window, and if you want a copy of it, ask us at the address below and we will send it.

12. Governing law

EasyViva is available to students worldwide and is operated from Malaysia. These Terms are governed by the laws of Malaysia, and the courts of Kuala Lumpur have jurisdiction over any dispute arising from them. If the consumer law where you live gives you rights that cannot be signed away, including the right to bring a claim in your local courts, this clause does not take those away.

If any part of these Terms is found unenforceable, the rest continues to apply. Please contact us first — most problems are faster to fix directly than through a court.
